Every guesthouse host knows the pattern. A guest checks in, and over the next day the same questions arrive one by one: what is the WiFi password, what time is check-out, how does the geyser work, where can we eat nearby, what happens when the power goes off. Some come at the front desk, some come on WhatsApp at 11pm. An NFC tag in each room answers all of them with one tap, and it also puts your Google review link in front of guests at the end of a good stay.

Build Your Guest Page

The tag in the room is only a doorway. What matters is the page it opens. Try building one: switch sections on and off and tap them on the phone to see what a guest would see. Hospitality people call this a digital compendium: the guest information folder, moved onto the guest’s phone and kept up to date from yours.

Most hosts start with WiFi, check-out, a house guide and local tips, because those cover the bulk of the questions. Everything else can be added later without going near the tags.

One Tag Per Room

Each room gets its own tag, and each tag can open a page for that room — so Room 4’s page can say “Room 4”, show that room’s aircon instructions and list its own check-out notes. A few placement tips:

  • Put it where guests put their phone down — the bedside table or the desk, next to the TV remote or the welcome folder.
  • Add a small printed line such as “Tap your phone here for WiFi and house info.” Guests will not guess what an unlabelled sticker does.
  • Use a wipe-clean holder. A tag laminated into a card or set into an acrylic stand survives housekeeping far better than a bare sticker.
  • Password-protect every tag so nobody can reprogram it to point somewhere else. Our guide to NFC for takeaways and restaurants covers keeping public tags tamper-proof in more detail.

WiFi: Tap-to-Join or Show the Password

This is the part most guides get wrong. An NFC tag can store WiFi details so that a phone joins the network in one tap — and on most Android phones that works well. iPhones, though, do not join WiFi from an NFC tag.

The dependable setup is a tag that opens your guest page with the network name and password written clearly at the top. That works on every phone. If you want a one-tap join as well, add a small WiFi QR code beside it: iPhone cameras can join a network from a QR code, and Android users can use either.

It is also worth keeping guest WiFi separate from the network your business uses for bookings, card machines and CCTV. Our network and WiFi setup guide explains how to isolate a guest network properly.

Reviews: Google Versus the Booking Platforms

Airbnb, Booking.com and similar platforms prompt their guests for a review after check-out, and those reviews stay inside the platform. Your Google reviews are different: they decide how visible you are when travellers search Google Maps for a place to stay in your town, and nobody prompts guests to leave them unless you do.

That makes the room tag the natural place for your Google review link. If TripAdvisor matters to your guests — it often does for international visitors — the same kind of card can be programmed with your TripAdvisor review link, or the guest page can show both. Our guide to TripAdvisor review cards for guesthouses and lodges covers how. The best moment is the last morning, when the stay is still fresh — which is exactly when a guest is packing up next to the tag. Our guide on how to get more Google reviews in South Africa covers what Google allows and what it bans when you ask for reviews.

Bringing Guests Back Directly

A returning guest who books directly saves you the platform’s commission. A “Stay with us again” button on the guest page can open your own booking form or a WhatsApp chat.

One caution: if the guest booked through a platform, read that platform’s rules before promoting direct bookings to them. Some restrict hosts from steering platform guests to book elsewhere. Guests who found you directly — through Google, a referral or your website — are fair game. Our guide to direct bookings versus Booking.com goes further, with a calculator for what the platforms cost your property.

Keep Private Details Off the Page

A guest page is meant to be easy to open, which means it is not private. Anyone who stayed last month, or anyone the link is shared with, can still open it. So keep these off it:

  • Lockbox, gate and alarm codes
  • Your home address, if you live on a different property
  • Anything you would not want a stranger to read

Send codes to each guest on WhatsApp for their own booking, and change them between stays. The guest page handles everything that can safely be public; WhatsApp handles the rest.

A Tag for the Breakfast Room Too

If you serve breakfast or run a small restaurant, the same tag can open a breakfast menu with serving times, or let guests order to the room. We cover that setup in our guide to NFC digital menus for restaurants, including an interactive ordering demo.

Getting It Set Up

IT-Support-SA sets up NFC for guesthouses, B&Bs and holiday rentals across South Africa: we build the guest page, program and password-protect a tag for each room, and test every tag on iPhone and Android before it goes in. Packages are priced by room count — from approximately R5,999 setup and R499 a month for up to six rooms, through to lodges, hotels and multi-property groups — and every figure is confirmed on a written quote. See the full guesthouse, lodge and hotel packages. If you only want reviews for now, our Google review NFC cards start at R299 and can sit at reception while you decide on the rooms.

Send us an enquiry or WhatsApp us with your room count and we will suggest a setup. Guesthouses are among the businesses that gain most from easier reviews — our breakdown of which South African businesses benefit most explains why.

We Come Out and Fit Every Room

You should not be crawling around a room with a phone trying to get a tag to write. IT-Support-SA fits the whole thing for you, on site, for guesthouses, B&Bs and holiday rentals anywhere in South Africa.

We build and populate the guest page first — WiFi, check-out time, house guide, local tips, WhatsApp and your Google review link — then come out and install it room by room: a tag programmed, password-protected and mounted where guests will naturally find it, usually on the desk, the bedside table or beside the door. Each tag is tap-tested in its own room on both an iPhone and an Android handset, and we check that WiFi and mobile signal actually reach that room rather than assuming they do from reception. Breakfast rooms, self-catering kitchens and the entrance get their own tags if you want them. Before we leave, housekeeping and reception get a short walkthrough so they know what a guest is looking at when they ask.

Hosts running several properties get each one visited with its own guest page and its own review link. Travel outside Pietermaritzburg, Durban, Ladysmith and Johannesburg is quoted with the setup, and where a visit is impractical we program, test and courier the tags ready to place with a WhatsApp walkthrough.

Conclusion

A tag in each room answers the questions guests ask every stay, keeps your information current without reprinting a thing, and puts your Google review link in front of guests at the best possible moment. Keep private codes off the page, show the WiFi password rather than relying on tap-to-join, and it quietly takes pressure off you every day. Contact IT-Support-SA to set up NFC room tags for your guesthouse, B&B or holiday rental — serving hosts across Pietermaritzburg, Durban, Ladysmith, Johannesburg, Cape Town and all 9 provinces of South Africa.

Frequently Asked Questions

Can an NFC tag connect guests to WiFi automatically?
On most Android phones, yes: a tag can hold your WiFi details and join the network in one tap. iPhones do not join WiFi from an NFC tag, so the reliable approach is a tag that opens your guest page with the WiFi name and password shown, which works on every phone. A QR code for WiFi is a good extra, because iPhone cameras can join a network from one.
Can a room tag link to our Airbnb or Booking.com reviews?
Those platforms ask guests for a review themselves after check-out, and their reviews live inside the platform, so a tag is best used for your Google review page. Google reviews are the ones that decide how you rank in Google Maps when travellers search for places to stay.
What should go on a guest information page?
Start with what guests ask most: WiFi details, check-in and check-out times, how the geyser, aircon and TV work, what to do during load shedding, and your local recommendations. Then add a Google review link, a WhatsApp button for the host and emergency contacts. Breakfast menus and booking links are useful extras.
Do I have to replace the tags when our details change?
No. The tag only stores a web address. Change the WiFi password, update check-out times or add a new restaurant recommendation on the page, and every room tag shows the new version immediately.
Should door codes or alarm codes go on the guest page?
No. Anyone who has ever stayed, or anyone who copies the link, could open that page later. Keep lockbox, gate and alarm codes off the page and send them to each guest privately on WhatsApp for their booking, changing them between stays.
Do you come out and fit the room tags, or do I do it myself?
We come out and fit them. IT-Support-SA builds the guest page first, then visits your guesthouse anywhere in South Africa to program and mount a password-protected tag in each room, tap-test every tag on both iPhone and Android in the room itself, check WiFi signal reaches each one, and brief your housekeeping and reception staff. Multi-property hosts get each property visited with its own guest page.
